Purpose of the Role
BGIS is seeking an experienced Assistant Project Manager to support the successful delivery of projects within the educational programme of works. Reporting directly to the Programme and Project Management team, you will work collaboratively with clients, consultants, contractors, and internal stakeholders to coordinate project delivery, maintain programme reporting, and support operational excellence across multiple active workstreams.
This role is ideal for a highly organised and proactive professional who thrives in a fast-paced project environment and is passionate about delivering quality outcomes while building strong stakeholder relationships.
Key Responsibilities
- Assist with the planning, coordination, and administration of projects across the Nga Iti Kahurangi programme of works
- Support project managers with programme scheduling, milestone tracking, and delivery reporting
- Coordinate project documentation including scopes, purchase orders, meeting minutes, variations, and status updates
- Liaise with clients, consultants, contractors, and internal stakeholders to support successful project delivery
- Monitor project budgets, invoices, committed costs, and financial tracking to maintain commercial control
- Assist with procurement activities and contractor coordination
- Support risk management, issue escalation, and quality assurance processes
- Prepare weekly and monthly reporting on project progress, financial status, and upcoming activities
- Maintain accurate project records and document control across relevant systems
- Attend stakeholder and project meetings, recording actions and follow-up items
- Contribute to continuous improvement initiatives across programme delivery and reporting processes
Education, Experience & Skills
Essential:
- Previous experience in a project coordination, assistant project management, or programme support role
- Strong organisational and administrative skills with excellent attention to detail
- Ability to manage multiple priorities across a fast-paced programme environment
- Excellent written and verbal communication skills
- Strong stakeholder engagement and relationship management capability
- Competence in Microsoft Office applications including Excel, Word, Outlook, and Teams
- Experience preparing reports, meeting minutes, and project documentation
- Understanding of project delivery processes, risk management, and quality assurance practices
- Ability to work collaboratively while also taking initiative independently
Desirable:
- Experience supporting construction, infrastructure, property, or capital works projects
- Qualification in project management, construction, engineering, business administration, or a related field
- Experience with project scheduling tools and document management systems
- Understanding of health and safety, project governance, and contract administration processes
Exposure to education or public infrastructure projects
