About the position
As our business continues to grow, we are undertaking an increasing number of customised aluminium solution projects requiring detailed project planning, technical coordination and multi-stakeholder delivery management. We are therefore seeking a Project Coordinator to join our team. This role will play a key part in the successful planning, coordination, administration and delivery of projects from contract award through to completion.
The Project Coordinator will work across technical, production and commercial teams, as well as with external stakeholders including developers, contractors, suppliers and clients, to coordinate and oversee project activities and ensure projects are delivered in accordance with agreed specifications, timelines, quality standards and contractual obligations.
Summary of key information
- Nature of employment: Permanent full-time
- Remuneration: $28.50 to $31.50 per hour
- Overtime rate: at the rate of normal salary for any time worked in addition to an ordinary work week.
- Minimum guaranteed hours of work: 30 hours per week
- Maximum hours of work: 50 hours per week
- Location of work: Aibrook office in Auckland
Summary of key responsibilities (including but not limited to)
- Establish, coordinate and maintain comprehensive project plans for custom-built aluminium solutions projects, overseeing scheduling, procurement coordination, delivery sequencing, installation programmes, contractual milestones and overall project delivery requirements to ensure projects are completed in accordance with agreed specifications, timelines and operational objectives.
- Review supply contracts, technical specifications and purchase orders to ensure alignment with agreed scope, and coordinate any required amendments, scope adjustments or work order variations with relevant parties.
- Serve as the primary coordination contact for project-related enquiries, addressing issues, scheduling conflicts, documentation queries and contractual clarifications in a timely and professional manner.
- Prepare and review project documentation such as progress reports, variation summaries, compliance records etc.
- Monitor and coordinate internal teams and external contractors to ensure works are carried out in accordance with approved drawings, specifications and contractual requirements, and report any deviations or variation impacts.
- Provide structured advice and recommendations to management on project risks, cost implications, scheduling constraints and resource requirements, and implement management decisions accordingly.
- Coordinate communication between key stakeholders to ensure project objectives, delivery timelines and quality standards are achieved.
- Collect and analyse project-related data such as production lead times, delivery performance, installation progress, variation frequency and cost tracking, and report findings to management.
- Maintain comprehensive project records including but not limited to contracts, technical drawings, variation registers, contractor documentation and compliance materials.
- Contribute to continuous improvement of internal project management systems and processes as the business expands.
- Undertake additional project-related responsibilities as reasonably required to support the effective delivery and administration of projects.
Key requirements
To succeed in this role, you will bring:
- At least 2 years of proven experience in coordinating and administering projects within product related environments
- Practical understanding of aluminium architectural/building products and associated processes.
- Sound knowledge of scheduling, milestone tracking and delivery monitoring within project-based environments.
- Ability to coordinate multiple stakeholders across technical and commercial environments.
- Ability to analyse project data and provide structured reporting to management.
- Excellent organisational capability with strong attention to detail.
- Confident communication and stakeholder engagement skills.
