MMSAYED Company Limited is a growing construction and maintenance company specialising in residential and commercial painting, plastering, maintenance, renovations, property improvements, and project coordination throughout Auckland.
We are seeking a highly organised and proactive Construction Project Administrator to coordinate and administer projects from commencement through to completion. The successful applicant will work closely with management, clients, suppliers, subcontractors and site personnel to ensure projects are efficiently coordinated, materials are available on time, documentation is maintained, and project administration is completed to a high standard.
This position is primarily responsible for project coordination, procurement, scheduling, administration, fleet coordination and office support.
Key Responsibilities
· Coordinate and administer residential and commercial projects from commencement through to completion.
· Prepare quotation documentation based on approved estimates, purchase orders, invoices, variation documents, work orders and project documentation.
· Coordinate project schedules and maintain project timelines in consultation with management.
· Liaise with clients, suppliers, subcontractors and site supervisors regarding scheduling, procurement and project administration.
· Coordinate procurement and collection of construction materials, tools, plant, equipment and consumables from approved suppliers.
· Arrange deliveries of materials, plant and equipment to project sites.
· Maintain project records, supplier information, warranties, permits, correspondence and filing systems.
· Maintain Health & Safety documentation, induction records, toolbox meeting records, training registers and incident registers.
· Prepare project administration reports and provide administrative support to management.
· Coordinate communication between office staff, suppliers, subcontractors and clients.
· Maintain inventory records for company tools, plant, equipment, vehicles and materials.
· Coordinate servicing, WoF, registration, insurance and maintenance schedules for company vehicles and equipment.
· Monitor company vehicles, plant, tools and equipment and report maintenance requirements.
· Assist management when assessing fleet expansion or replacement.
· Coordinate document control and project close-out documentation.
· Respond to project-related enquiries and perform other administrative duties.

· Good mechanical understanding of company vehicles, plant, tools and equipment to assist with fleet maintenance scheduling and compliance.
Preferred Skills & Experience
· Experience coordinating suppliers, subcontractors, deliveries, procurement activities and project documentation.
· Understanding of project administration and procurement processes.
· Knowledge of Health & Safety documentation, site inductions, toolbox meetings, training records and compliance documentation.
· Mechanical background with the ability to monitor company fleet vehicles, identify maintenance requirements and assist management in maintaining fleet compliance.
· Understanding of, or willingness to learn, project management, estimating, scheduling and job management software.

· Hourly rate between $32.00 and $40.00 depending on experience and qualifications.
