Support Mortgage and Financial Services Operations
MHQ is seeking a highly organised Administration Officer to provide administrative and operational support to Mortgage Advisers, Loan Processing Specialists, and Client Services teams. This role is essential to ensuring client records, loan documentation, and office processes are managed accurately and efficiently in a fast-paced financial services environment.
What You'll Do?
Administrative Support
Prepare, organise, and maintain client files and records.
Manage incoming and outgoing correspondence.
Update and maintain CRM and document management systems.
Ensure accurate filing and storage of client documentation.
Mortgage Processing Support
Assist advisers with gathering client information and documentation.
Prepare loan application paperwork and supporting documents.
Track application progress and update internal systems.
Liaise with banks, lenders, solicitors, valuers, and other stakeholders.
Client Communication
Respond to client enquiries via phone and email.
Schedule appointments and meetings for advisers.
Follow up outstanding documentation and information requests.
Provide clients with updates on application progress.
Data Entry & Reporting
Enter and maintain accurate client and loan data.
Generate reports and administrative summaries as required.
Assist with compliance reporting and audit preparation.
Monitor workflow tasks and key deadlines.
Compliance & Quality Assurance
Ensure documentation meets regulatory and lender requirements.
Support internal compliance and quality control processes.
Maintain confidentiality of client information.
Assist with record-keeping for audits and reviews.
What We're Looking For?
Previous experience in administration, customer service, or office support.
Strong organisational and time-management skills.
Excellent written and verbal communication abilities.
High attention to detail and accuracy.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Ability to manage multiple tasks in a fast-paced environment.
Desirable Skills
Experience in financial services, banking, or mortgage administration.
Knowledge of CRM systems and document management software.
Understanding of New Zealand lending and mortgage processes.
NZ Certificate in Business Administration or a related qualification.
