Position Purpose

We are seeking a highly organized and service-oriented Project Coordinator to serve as a core hub for our exchange projects. In this role, you will be responsible for end-to-end project delivery, stakeholder empowerment, and operational excellence. You will bridge the gap between project owners and vendors while ensuring all activities are compliant, data-driven, and professionally executed. This is a full-time role with 30 hours of work per week.

Key Responsibilities

• Act as the primary point of contact for industry experts, cultural leads, and project partners, providing precise guidance on program rules and service standards.
• Respond to complex queries and provide one-on-one professional support to ensure a seamless experience for all participants.
• Track and resolve multi-faceted feedback or issues through to completion, coordinating internal resources to enhance service satisfaction.
• Negotiate variations to service contracts to ensure specific professional and cultural objectives are met.
• Ensure all project documentation is maintained and that activities strictly adhere to both company policy and regulatory compliance standards.
• Monitor market and industry trends to identify risks and ensure the integrity of our cultural exchange programs.
• Collect and analyse core project data, including participant engagement, activity outcomes, and growth opportunities.
• Produce regular performance reports (daily/weekly/monthly) to advise senior management on project health and strategic adjustments.
• Utilize data insights to optimize project workflows and improve long-term operational efficiency.
• Coordinate the planning, logistics, and on-site execution of high-level cultural salons, industry forums, and delegation visits.
• Manage vendor performance and oversee service quality to ensure Barefoot’s high standards are consistently upheld.
• Conduct post-event reviews and feedback analysis to continuously improve project delivery.

Skills & Experience

• Must be fluent in both English and Chinese to facilitate high-level dialogue between professionals from both cultures
• Experience in project management, business support, or market operations is essential
• Minimum three years of relevant business experience
• Experience in industries requiring high compliance is highly preferred
• Proven ability to negotiate complex terms and act as an effective liaison between diverse stakeholders and vendors
• Strong data analysis skills with the ability to look beyond daily tasks to identify long-term growth opportunities
• Highly organized with strong attention to detail
• Ability to work under pressure while maintaining a service-oriented attitude
